Job Description
We have a fantastic opportunity for a Governance Administrator join our team based nationally with flexible working. This is a full time, permanent position.
The salary on offer is up to £29,000 per annum (depending one experience).
About the role:
The role of the Governance Administrator is primary to work closely with the Company Secretary and Deputy Company Secretary to ensure effective and efficient functioning of the Board, its committees and on other aspects of the company secretariat service.
What you will bring to the role:
- Set up Board, Committee and other governance related meetings, including the governance calendar.
- Work with colleagues across the organisation to ensure the smooth running
- of Board and Committee meetings.
- Manage the logistics for Board and Committee meetings which will range from remote, hybrid and in-person meetings.
- Liaise with Executive Assistants and senior colleagues to prepare agendas and papers, ensuring deadlines are met, collating and distributing papers.
- Take formal minutes of the Executive Committee as required and ensure the actions are updated and tracked.
- Liaising with the Senior Leadership Team to ensure that actions are followed up and that cross functional liaison has taken place before papers are submitted to the Executive Committee.
- Manage the paper outcomes schedule for the Executive, Board and Committees.
- Organise the associated logistics for the bi- monthly Board meetings, including booking meeting rooms/venues, arranging lunch and pre-Board dinners, including liaising with Board directors.
- Maintain forward agendas for Board and Committees and ensure they are reviewed by the respective Lead Executive Director.
- Ensure that governance pages on our website and intranet (‘Hub’) are kept
- up to date.
- Set up and ensure documents and folders are well maintained and filed efficiently and securely in the organisation’s systems.
- Set up meetings for induction of new non-executive directors and appraisal meetings.
- Make arrangements as required for non-executive director training.
- Process the non-executive director expenses and book travel and accommodation for non-executives as required.
- Complies with Company policies and procedures and put forward any suggestions for change if appropriate.
