We have a fantastic opportunity for a Credit Control Team Leader to join our team based in London working flexibly with one day a week in the office. The salary on offer is from £43,000.
About the role:
The credit control team is responsible for the prompt collection of invoices arising from our property management activities including rent, service charges and facilities management costs.
The departmental objectives are to minimise overdue debts, accelerate cash receipts, resolve queries & disputes promptly and to prevent bad debts.
The Credit Control Team Leader must possess excellent communication and organisational skills and be able to work under pressure using his/her own initiative.
To be effective in the Credit Control function the Credit Control Team Leader of GP and Non-NHS Debt must ensure a high level of data integrity and accuracy is maintained, whilst delivering an efficient and timely service across NHS Property Services.
To be instrumental in driving the minimising of the level of outstanding debt and ensuring the business credit control policies are strictly applied to at all times.
Act as a lead on tasks completed by the Credit Control team and train other members accordingly. Drive continuous improvement initiatives across the team, to improve processes and reporting capabilities.
Key Responsibilities include:
Reporting to the OTC Manager, the Credit Control Team Leader is responsible for leading a team with specific focus on GP and Non-NHS debt.
All management tasks associated with leading a team: recruitment, day-to-day supervision & management, portfolio allocation, setting cash targets, root cause analysis reporting, performance management, appraisals, personal development plans and ensuring that training and development needs are met.
To allocate work within areas of responsibility, ensuring that absence is covered, and work is allocated fairly.
To ensure that staff are motivated and are following set procedures to achieve targets by regularly reviewing their progress and providing guidance in the resolution of queries. Implementing short, medium and long-term strategies to resolve problems as necessary.
To ensure that all other debt managed by the credit controllers is kept constantly under review and a low aged debt profile is maintained.
Personal responsibility for a portfolio of accounts, contacting customers by phone and or email, chasing payment for overdue invoices, dealing with queries/disputes and liaising with colleagues across the business to resolve queries so that invoices can be paid.
To be responsible for the collection of all high value debts of £200,000(+) to maximise the business income.
Ensure that debts less than £200,000 but greater than £50,000 are chased for payment.
Ensure collection priority is given to Reimbursable Debts and Non-Reimbursable Debts that are documented or has made Non- Reimbursable payment(s) in the past.
Ensure that all reimbursable debts are chased with an Email Reminder to pay, and a statement with a copy of the Premises Costs Directions section 31 & 32 notice attached.
Ensure undocumented customers that never paid is considered for Withdrawal of services
Ensure that Non-NHS Debtors are chased in descending value order by Phone/Email and deliberate non-payers are sent to Enforcement.
Building customer relationships to ensure queries are dealt with in accordance with the Company’s escalation policy.
Ensure all accounts are actioned through Compass.
Ensure Compass cases are resolved promptly, and breaches are kept to a minimum.
Ensure that the Property Escalation Tracker (PET) is accurately kept up to date.
Liaison with internal colleagues (Finance, Asset & Facilities Management, etc.) to resolve issues, respond to queries and settle disputes that prevent or delay payment of accounts.
Representing the interests of Credit Control in meetings with customers and their representatives.
Ensure that customers are offered the option of Direct Payment and engage with the Commissioners to make it happen.
Ensure that after Credit Control BAU process; deliberate non-payers are Escalated to you as a final collection effort before Enforcement.
Engage with, Commissioner, Director, Partner or Practice Manager, to secure payment of undisputed debt and consider payment plans if evidence of cashflow problems is provided.
Take responsibility for escalating accounts to enforcement, insolvency or bad debt.
To check the accurate completion of the escalation forms.
Engaging with internal and external collection partners on debt escalation and litigation.
Support the Head of GP and Non-NHS Debt with the processing of new or existing accounts ensuring credit checks have been completed (where required) and credit risks analysed.
Contribute towards documenting credit control procedures, ensuring these are up to date and consistently applied.
Provide weekly root cause analysis reports on debtor activity to the Head of GP and NonNHS Debt using Word and Excel.
Undertake specific credit control related projects for the benefit of the business.
To collate information on staff absences and report regularly to the Head of GP and Non-NHS Debt.
To monitor staff absence and annual leave in line with the business policies.
To manage the work of agency staff and sign their time sheets.
