Job Description

At NHS Property Services, our people are at the heart of everything we do. We’re committed to creating a workplace where colleagues feel valued, supported, and empowered to make a meaningful impact. As part of our mission to Get, Grow, and Keep Great People, we continue to strengthen the way we deliver safe, compliant, and welcoming NHS environments for patients, staff, and communities.

We now have an exciting opportunity for an Estates Coordinator to join our London team, supporting a portfolio of community healthcare buildings across Newham. This is an excellent role for someone who enjoys working with people, thrives in a visible, customer‑facing environment, and wants to build a career within NHS estates and facilities.

About the Role

As an Estates Coordinator, you will play a key role in the day‑to‑day management of NHS buildings within your local patch. Acting as the first point of contact for customers and building users, you’ll help ensure our properties are safe, compliant and well maintained.

You will manage a portfolio of approximately 12 properties, working closely with customers, contractors and internal colleagues to coordinate estates and facilities activity. This is a front‑facing role, often based on site, where you’ll represent NHS Property Services and build strong relationships with a wide range of stakeholders.

While prior facilities or estates experience is welcomed, we are open to candidates from a variety of backgrounds and are happy to train the right person with the right attitude.

Who You Are

You are a confident, organised and resilient individual who enjoys working independently and being visible on site. You take pride in delivering good customer service and are comfortable handling challenging conversations when required.

You bring:

  • A positive, proactive attitude and willingness to learn
  • Strong communication skills and the confidence to deal with a wide range of customers
  • The ability to organise your workload and manage multiple priorities
  • A professional and calm approach in sometimes challenging environments

Key Responsibilities

  • Acting as the first point of contact for customers and building users across your portfolio
  • Supporting the delivery of estates and facilities services to agreed standards
  • Coordinating contractor attendance and monitoring completion of works
  • Building positive working relationships with stakeholders and occupiers
  • Escalating issues appropriately and supporting resolution in a timely manner
  • Maintaining accurate records and updating systems as required
  • Supporting compliance, health and safety, and quality standards across sites
  • Can handle routine tasks and social interactions within a work environment. Ability to absorb policy and guidance necessary for the role.

Where You’ll Be

This is a hybrid role based in Newham, London, with your main base located at sir Ludwig Guttmann health & wellbeing centre. You will be required to attend sites across your local patch, with a minimum of three days per week on site.

A driving licence is not essential, however candidates must be able to travel independently between sites. Some walking between locations may be required, particularly if using public transport.

This is a 10-month fixed term contract working 37.5 hours per week.

What We Can Offer You

We understand how important life is outside of work, so alongside a competitive salary starting from £34,000 per annum with bonus eligibility, we also offer:

  • 27 days annual leave plus 8 bank holidays, with the option to buy additional leave
  • A Smarter Working Policy to support flexibility where possible
  • Training and development opportunities through our Professional Excellence Framework
  • SMART pension with up to 6% employer contribution
  • Access to NHS retail discounts and the Cycle to Work Scheme
  • A comprehensive Colleague Assistance Programme for wellbeing support
